Download All Submission Files in Bulk

Throughout a competition your entrants may upload a substantial number of files.  You may need to download all of these files in a nice, organized fashion.

Our Bulk Download Tool enables you to do that.

Choose Download Location: To Your Computer or To DropBox

There are two methods to pull all of the files from the system.

  • Download to your own computer using our Windows or Mac applications
  • Download the files to your DropBox account

If you wish to download to your computer, please download and install the appropriate application for


To use Dropbox, you need to have a Dropbox account that has enough space to store all of your submission files. You can sign up for Dropbox here: https://www.dropbox.com/

STEP 1: View Your Competitions

  • From your OpenWater Dashboard, find and click the Competitions tab on the left side navigation bar



STEP 2: Manage Your Competition

  • After clicking on the Competitions tab, look to the right to find the list of available competition
  • Click "Select"



STEP 3: Access Entries Reports

  • Open the "Entries" drop-down and click on "Reports"



STEP 4: Choose a Report

  • Choose one of the four default reports to run, or press "Add Report" to build a custom report
  • Click "Select" to open the desired report



STEP 5: Switch to the Download Files Tab

  • Switch ot the "Download Files" tab by clicking on the tab itself or the link



STEP 6: Choose Download Options

  • Choose the settings that should apply to your download
   Section A:
  • Check Download all Media Attached to Submissions to pull all of the files associated with each entry
  • Check Download PDF of Nomination as Entrant to retrieve a PDF of the entrant's submission as it would appear to the submitter
  • Check Download PDF of Nomination as Judge to retrieve a PDF of the entrant's submission as it would appear to the judge
 

Section D: 

To save to DropBox, you will be prompted to connected your Drop Box account.  Download will OpenWater will require you to have our Native Application (Get it for Windows | Mac) View Individual Files will show the files on screen and you can download them one by one

Section C: 

Use Consistent File Naming will take each of the application's attachments and rename them to be the name of the application and a number (e.g. 01 for the first file, 02 for the second file) Use Original File Names will use the file name as provided by the submitter

Section B: 

Download all Applications into a Base Folder will place all files into one single folder Create Folders for each Category will group all applications in a given category into a folder and create a nested set of files either named based on the category name OR category code Create Folder per Application will group each application's PDF and associated media into a folder



Dropbox

If you chose the Dropbox option and files start to sync up, you will see this dialogue box appear. Wait for the dialogue box to inform you that the download is complete.

  • The files will appear in a new folder in your Dropbox account called Apps



Download to Your Computer

If you chose the Windows or Mac Downloader, a Dialog Box should appear

Having trouble downloading files? Try these troubleshooting steps:

  1. Are you blocking our file storage provider (Amazon S3)? Try clicking here to download a test file. If you are unable to access that link, you are blocking Amazon S3 and will need to unblock it.
  2. Test the speed of your connection here: http://www.speedtest.net/ -- it is recommended that you use a wired connection with fast download speeds.
  3. Check your hard drive space. If the Total Size, located below the progress bar is greater than the amount of free disk space available on your drive, you will not be able to successfully download all of the files.

Folder Structure

The resulting folder structure is broken down first by parent category. Inside any parent category will contain folders for sub-categories. And finally, the Entry ID numbers will appear as folders which contain the actual files for those entries.

View Individual Files

If you chose the View Individual Files method, wait for the report to complete, and the list of files for each entry will become available as in the screenshot below.
